A) FEATURES OF THE CAPITAL GAINS RECORD:*
========================================
It's Application:
----------------
; This spreadsheet was originally created to record the =
;transactions typical of a mutual fund investment where all :
8distributions were reinvested in the fund as additional
shares.
= The following presumptions (which are acceptable to the 2
0IRS for mutual fund shares) were built into the
calculations:
1) All sales are FIFO (first in, first out), and?
= 2) The current basis of the investment is derived 0
.from the average cost of the remaining shares
after all sales.
= The applicability of this capital gains record to other 6
4investments will have to be determined by the user, >
<especially in the light of the Internal Revenue Regulations 2
then in existence. Careful research is advised!
What Data Needs To Be Entered:
-----------------------------
= All data to be entered may be derived from the periodic 5
statements of the fiscal agent for your investment.
The usual data to be entered is:.
- For Purchases & Other Additions:8
- Dollar amount of the transaction(
and - Price per share.
- For Sales:.
- Number of shares sold,(
and - Price per share,<
: and - Average cost per share (supplied by
the spreadsheet).
; More detailed instructions for data entry are set out
ahead.
What Data It Reports:
--------------------
= Besides all the individual purchase and sales data, the 6
4Capital Gains Record will also provide you with the )
following summary data either on screen
or in a printed report:
-Purchase Data Section:1
Current investment balance (at cost),+
Current average cost per share,'
Current total shares owned.
-Sales Data Section:&
Total shares sold to date,"
Total sales (at cost),1
Each sale's proceeds and gain/(loss),7
Total sales proceeds and total gain/(loss).
9 Such tax characterizations as "long term" or "short <
:term" will have to be made on an individual bases judging <
:from the dates of the particular entries involved. Since 5
3the Internal Revenue Code is in constant flux, the ?
=definition of "long" and "short" term may change from period <
:to period and may very well affect different transactions ,
differently. Careful research is advised!
B) CREATION OF THE CAPITAL GAINS RECORD:*
========================================
7 This AppleWorks spreadsheet was converted into an 9
7uploadable ASCII Text file using Rick Oshlo's superbly ?
=upgraded utility, HEX.TEXT, found in MAUG's DL1. HEX.TEXT's >
compression option was used in the conversion to TXT to save>
<you 44% in downloading time. Included in CAPGNS.EXE is the >
<decompression routine which, if you are interested, you may >
<have to inquire about separately from Mr. Oshlo. After you <
:download CAPGNS.EXE, just EXEC it back into the "working"
AppleWorks spreadsheet.
< If you need help EXECing a downloaded ASCII Text file, 5
3MAUG's Data Library has help files explaining this
procedure.
9 After you EXEC CAPGNS.EXE, the resulting AppleWorks ;
9spreadsheet file, CAPGAINS RECORD, will be automatically :
8saved to your disk... ready to be read and worked on by :
AppleWorks. In the EXECing process, you might see a few;
9SYNTAX ERRORs whiz by; just ignore them and test out the 8
file on AppleWorks after reading the directions below.
= CAPGAINS RECORD also contains an operating example of a :
8mutual fund investment which takes all distributions as ?
=reinvestments. Several entries for purchases, distributions
and sales have been included.
; Keep CAPGAINS RECORD as a blank template and rename a >
<copy of it (without the mutual fund example) every time you 7
start a new record for each new investment.
7C) INSERTING PURCHASE, DISTRIBUTION & SALES DATA INTO
RECORD:?
=============================================================
Making Entries Generally:
------------------------
< Cell protection has been provided for and is currently <
:"ON." For your ease of entering data, you may temporarly :
8turn off ALL protection (if you dare!) by selecting the 7
"Protection" option routine under the OpApp-V command
for setting standard values.
8 All entries MUST be made in date order, doing each ?
=purchase and sale as it actually occurred in point of time. ?
=This is of particular importance when entering blocks of old <
:data during the creation of a capital gains record for an 7
5existing investment. This is less of a problem when 9
entering new data from your current account statements.
WARNING! If any sale is EVER entered:=
; - BEFORE any antedated purchases or other
additions;
9 OR - BEFORE running "Calculate" four times 5
after the last purchase or addition was entered,---
7 >>---> THE ACCURACY OF THE SPREADSHEET WILL BE >
<DESTROYED AND THE ONLY REMEDY WILL BE TO ENTER ALL THE DATA 3
FROM SCRATCH ON A NEW BLANK CAPITAL GAINS RECORD!
8 Please note with particularity the following types of
entries:
Purchases For Account:
---------------------8
6 Enter all purchases in date order up to the next <
:occurring sale. Enter several at a time BUT do NOT enter <
:the "sale" until AFTER running "Calculate" (OpApp-K) four %
times to complete ALL calculations.
Distributions of Dividends & Capital Gains:,
------------------------------------------
8 Enter all reinvested distributions (along with any ;
9purchases) in date order up to the next occurring sale. <
:Enter several at a time BUT do NOT enter the "sale" until =
;AFTER running "Calculate" (OpApp-K) four times to complete 0
ALL calculations.
Sales From Account:
------------------8
6 AFTER entering all additions to date and running
"Calculate" four times:9
7 1) Enter all the required data. The Current ;
9Average Cost Per Share may be found at the bottom of the 9
"Purchases" section for entry into the "Sales" section.>
< 2) Run "Calculate" four times again before making !
ANY further entries whatsoever.
9Total Liquidation Of Investment: * Technical Correcting
Entry:?
=------------------------------------------------------------
: After a final total liquidation has been made, there 8
6may be some fractional amounts for the 1) Current Net ;
9Invested Balance, 2) Current Average Cost / Share, or 3) =
Current Total Shares Owned in the Purchases section. These<
:fractional amounts are due to rounding errors and "micro" =
;values embedded into "zero" entries (used to avoid "ERROR" <
results when calculating cells with nominal "0"s in them).
* To Reverse These fractional Amounts:
: 1) Be sure that the total liquidation is entered >
<properly in the sales section and that "Calculate" has been
run four times.7
5 2) Enter (in the Purchases section) a "Tech )
Correction" entry for the current date.:
8 3) Enter an amount under "Dollar Amount" which <
would result in a Current Net Invested Balance of "$0.00".=
; 4) Enter the Current "Average Cost/ Share" (weird >
<as it is!) in the "Price / Share" column for the correcting
entry.=
; 5) Re"Calculate" four times and the final results
should be:;
-Current Net Invested Balance = $0.00.=
; -Current Average Cost/ Share = a fractional
amount to be ignored!5
-Current Total Shares Owned = 0.000.
D) EXPANSION OF RECORD FOR MORE VOLUMINOUS DATA:2
================================================
< In BOTH the Purchases and Sales sections, ALWAYS leave =
;at least one row of "000.000"s (which also contain ALL the ;
9layout & protection instructions) for future expansion. ;
When expanding for more entries, insert lots of new empty<
:rows BELOW the remaining line of "000.000"s and then copy :
8that remaining line of "000.000"s DOWNWARD into ALL the >
<newly inserted blank rows. Be sure to copy ALL the columns -
from the remaining row to all the new rows.
Formulae are copied as follows:4
NOTE 1) N= no change; R= relative;
9 NOTE 2) All column letter references are 7
5correct though the row number references may well be (
different from particular spreadsheet.
Purchases Formulae:

E) PRINTING THE RECORD:
=======================
; IMPORTANT NOTE ON PRINTERS! The preformatted report >
<included with this spreadsheet was done with an ImageWriter >
<in mind. If your printer is other than an ImageWriter, you
may have to make adjustments.
; The preformatted report has had the hard work done in :
8advance. All the margins, character pitches, lines per 8
6inch, column widths, and et cetera, (adnausium!) have <
already been tested out on an Imagewriter. To print out a=
;capital gains report on paper, you only need to select the 9
option to print "ALL" of the spreadsheet when prompted.
F) FOR ADDITIONAL INFORMATION:
=============================
9 If you need help on any aspect of the capital gains =
;spreadsheet, feel free to leave a message on MAUG for me. =
